AODA compliance report 2026: deadline, preparation and filing

For covered businesses and non-profits with 20 or more Ontario employees, the next accessibility compliance report is due December 31, 2026. Preparing a checklist is not the same as filing that report.

A reporting deadline, not permission to postpone accessibility

Applicable accessibility duties are ongoing. The reporting cycle asks an organization to report on requirements already in force; it does not make December 31 the start date for training, accessible service or employment practices.

Businesses and non-profits normally report every three years. Designated public-sector organizations have a separate two-year cycle: their 2025 report was due December 31, 2025. An overdue public-sector report must not be treated as a new private-sector 2026 filing. Federal and uncertain coverage need separate checking.

Collect evidence before answering the government questions

A manager should be able to explain why an answer is accurate, which locations it covers and where supporting records are kept. A policy file alone does not show that staff received training or that a feedback process is working.

Use the free tool to separate evidence available, work outstanding and matters still uncertain. Review applicable requirements rather than assuming every question applies. A self-reported ready answer remains the organization’s assessment, not an independent audit.

  • Identify the legal organization and confirm its Ontario employee count.
  • Locate relevant policies, training evidence, employment processes and accessibility-plan records.
  • Resolve website and specialist scope questions with the responsible people.
  • Keep unresolved issues visible for the authorized certifier.

What information belongs in the official filing

Ontario lists the organization’s legal name, nine-digit business number, employee count and the name and contact details of the certifier among the information needed to complete the report. The certifier must have legal authority to confirm completeness and accuracy for the organization.

This free tool does not need your business number, employee names or disability information. Keep those details out of assessment notes. Gather the required organization information separately for the government’s portal.

Submit through Ontario’s portal and keep the confirmation

Use Ontario’s Accessibility Compliance Reporting Portal. Its current process is account-based: register or sign in, start a new submission, select the accessibility compliance report and complete the government’s questions.

The authorized person must review the actual submission. A Canada Policy Manual PDF is a preparation pack, not an official report, filing receipt or certificate. After the government submission, retain the confirmation number and the submitted information using appropriate access controls. If circumstances change, follow Ontario’s instructions for updating the organization’s profile.

Worked example: a 28-employee Ontario employer

A fictional business confirms that its peak Ontario employee count is 28. It uses the ordinary business reporting route, so the tool identifies the 2026 deadline. Its manager finds training evidence missing and an accessible recruitment notice needing attention.

The useful result is an action list: locate or complete training, check recruitment communications and brief the certifier. The business must not mark those items complete just because it has downloaded the pack. A public website at this size does not, by itself, trigger the 50-plus business website rule; other accessible-information and human-rights obligations still need consideration.

Official sources and scope

General information, not legal advice or a compliance certificate. Check coverage, governing requirements and actual implementation. A report-preparation pack is not an official filing. Individual circumstances and specialist standards may require qualified advice.
